Managing Appointments in Synero

Synero’s Appointments Module offers a comprehensive interface to oversee, schedule, and manage all client bookings efficiently. This module provides tools for searching, filtering, and organizing appointments to suit your business needs.

Viewing and Searching Appointments

In the ‘Appointments’ section, you can.

  • View All Appointments: Access a complete list of scheduled appointments.
  • Search and Filter: Utilize the search bar and filtering options to locate specific appointments based on criteria such as date, customer name, or service type.
  • Sort Appointments: Click on column headers to sort the list in ascending or descending order.

Managing Appointments

To modify or remove an appointment.

  • Edit: Click the ‘Edit’ option next to the appointment to update details like date, time, service, or staff assigned.
  • Delete: Select ‘Delete’ to remove an appointment. For bulk deletions, check multiple appointments and click the ‘Delete’ button at the bottom.
  • Payment Details: Click on the payment icon in the ‘Payment’ column to view or edit payment information, including amount and status.

Creating a New Appointment

To schedule a new appointment.

  1. Initiate New Appointment: Click the ‘New Appointment’ button in the ‘Appointments’ section.
  2. Select Appointment Details: Choose the service, staff member, date, and time. The system considers staff availability, business hours, holidays, and existing bookings to prevent conflicts.
  3. Add Customer Information: Select an existing customer or add a new one by providing necessary contact details.
  4. Include Extras: If applicable, add extra services or products related to the main service.
  5. Apply Coupons: Enter any valid coupon codes to apply discounts to the appointment.
  6. Custom Forms: Fill out any additional information required through custom forms associated with the service.
  7. Notification Preferences: Decide whether to send notifications to the customer by checking or unchecking the ‘Run workflows on save’ option.
  8. Save Appointment: After entering all necessary information, click ‘Save’ to finalize the appointment.

Group Appointments

For services that accommodate multiple clients simultaneously.

  • Set Service Capacity: Define the maximum number of participants for the service.
  • Booking Slots: Clients can book available slots up to the defined capacity.
  • Manual Additions: Administrators can add clients to group appointments and specify the number of participants per booking.

Recurring Appointments

To schedule appointments that repeat over time.

  • Frequency Options: Choose from daily, weekly, monthly, or custom intervals.
  • End Date: Specify an end date or the number of occurrences for the recurring series.
  • Custom Patterns: Set specific days of the week or month for the appointments to recur.

Custom Appointment Statuses

Synero allows you to create and manage custom statuses for appointments.

  • Create New Status: Define unique statuses beyond the default options to fit your business processes.
  • Assign Icons and Colors: Customize each status with specific icons and colors for easy identification.
  • Manage Time Slots: Decide whether appointments with certain statuses occupy time slots on the calendar.
